Understanding a gearbox repair quote

The most useful gearbox repair price is one that describes the work your vehicle needs. A figure for a used unit, a fluid service and a complete installed replacement can all appear in the same search results, even though they cover very different jobs.

Identify the vehicle and the symptoms

Start with the registration, mileage and whether the gearbox is manual or automatic. Say which gears or driving situations are affected. A problem selecting reverse from cold may need a different investigation from a noise in one gear or loss of drive after a longer journey.

Include any previous clutch work, transmission fluid service or diagnostic report. If another workshop has recommended a replacement, ask for the findings behind that recommendation and bring them with you. A description of the symptom and the evidence gathered so far is more useful than the name of a part alone.

Establish what diagnosis includes

Ask what the first assessment is expected to cover and what it will cost. It may establish a cause, or it may show that further inspection is needed. Before authorising additional investigation, clarify what the next stage involves and what decision it is intended to support.

If dismantling is proposed, ask what happens afterwards. You should understand the arrangements if you decide not to proceed with the repair, including any work needed to reassemble or move the vehicle. These details should be discussed before the job reaches that stage.

Keep the distinction between an estimate and an agreed scope clear. A preliminary figure based on symptoms may need revision when the condition of the unit is known. Ask how findings and changes to the proposed work will be communicated.

Compare repair, rebuilding and replacement

A repair may address a particular component or fault. A rebuild can involve more extensive dismantling and work on the existing unit. Replacement involves another gearbox, whose condition and supply terms also matter. The appropriate option depends on the findings, availability and the vehicle.

If a replacement is proposed, ask whether it is new, used or reconditioned. Clarify who supplies it and what the quoted terms cover. A description such as “replacement gearbox” is not detailed enough to compare the alternatives on its own.

Consider the rest of the car too. Known engine, body or other mechanical issues may affect how you view a major repair. The same scope questions are useful when weighing up an engine repair or rebuild.

Check the following points before agreeing the work:

• Which diagnostic and inspection work is included, and which has already been paid for.
• The proposed parts or replacement unit and the basis on which they are supplied.
• Removal and refitting labour, fluids and any relevant setup or testing.
• Any related clutch, seal or other work proposed alongside the gearbox job.
• The total price, including applicable taxes, and any conditions that could change it.
• The terms for parts and labour, and what to do if a concern arises afterwards.

You do not need to know every technical term to ask for this information. The aim is to understand what the workshop will do, why it is proposed and what the figure covers. That is a stronger basis for a decision than choosing the lowest headline price.

Plan around the agreed work

Ask about availability before arranging time off or another vehicle. A diagnosis appointment does not guarantee that a replacement unit will be available immediately. Keep any essential date, such as when you need a work van back, part of the conversation from the start.
